Terms of use
These terms govern the use of Commission Tracker. By creating an account or using the service, you agree to what follows. If you do not agree, do not use it. They are written in plain language on purpose.
1. What Commission Tracker is
Commission Tracker is a web tool for artists and freelancers to manage their commissions, payments, deadlines, rates and statistics, and to share a read-only public profile with their clients. It is operated by the Commission Tracker team (Mexico).
It is only an organizing tool. We are not an art marketplace or an agency, we do not process payments or store card details, and we are not a party to the agreements between an artist and their clients. What they agree on, charge and deliver is between them.
No endorsement. We do not verify the identity, quality or reliability of users or their work. Having access to the platform or a public profile is not a recommendation from us: anyone who hires an artist decides for themselves.
2. Your account
- You must be at least 18 years old (or the age of majority in your country, if higher).
- Provide a real email you can read and keep your details up to date. An account is for one person.
- You look after your credentials (password, passkeys, codes). Anything done from your account is considered done by you; if you suspect unauthorized access, change your password and tell us.
- During the beta, sign-up requires an invitation code.
Invitation codes
Access to the beta is by invitation. Each code is handed out by the Commission Tracker team to a specific person and is tied to them and to the account that uses it. When the team gives you codes so you can invite whoever you choose, we record that we gave them to you and which account used each one, so we know who invited whom.
- If the team gives you codes to share, give them only to people you know and trust, never to strangers. You are responsible for who you give them to: if the person you invited breaks these terms or receives well-founded reports, we may also review your account and take action, ranging from asking you for information or withdrawing the codes you have left to, in serious cases, suspending it. We may let you know something happened, without giving you details about the other account.
- Each account is independent. The person who invites you has no access to your account or your data, and you have none to theirs; only we keep the link between the two, and we do not show it to other users. Each code works for one account only.
- Access requests. You can ask for access using the request form. We review each request against criteria such as whether you take commissions, whether you have a public portfolio of your own work, and whether you declare that your art is not AI-generated. Asking for access does not guarantee you will get it: we may accept, waitlist or decline a request without having to explain why. If what you declared turns out to be false, we may withdraw your access.
- Giveaways and events. You may hand out codes through a contest or an open call, but the event must go through the team first to be valid. Codes handed out in an event we have not approved may be voided. Vet who you give them to and do not ask for anything in return.
- Not allowed: selling or trading codes; using them for any benefit (for example, art, money or items in exchange); giving them away without vetting who gets them; or posting them where anyone can grab them, including partial reveals and uncensored screenshots.
- Official events. Codes you find in an event run by Commission Tracker are for your own personal use.
- We may deactivate any code that has not been used.
3. Your content
Everything you upload or write (commissions, notes, images, announcements, your own terms) remains yours. You give us a limited, non-exclusive, free license to host, process, back up and display it only as you configure it (for example, on your public profile) and to operate the service. It ends when you delete it or delete your account, except for backup copies that expire as described in the privacy policy.
You state that you have the right to use what you upload. If you publish an image by someone else or link it from another site, make sure you have their permission and, where appropriate, credit them.
Copyright claims
If you believe content on this platform (for example, an image on a public profile) infringes your copyright, write to support@mycommissiontracker.net with: your name and a way to reach you; the work you believe is yours and where it is published; the exact address (URL) of the content; a statement that neither you nor the law authorized that use; and confirmation that what you state is true and that you are the rights holder or act on their behalf. We review complete notices; while we do, we may remove or disable the content and tell whoever published it so they can respond. Filing a false or bad-faith notice may make you liable for the damage it causes. We may suspend accounts with repeated infringements.
4. Your clients and your public profile
- You decide what client data you store and what you show on your public profile, and you answer for it. Store only what is necessary, let your clients know you use this tool and follow the personal data laws that apply to you.
- By default, the client's username is shown in full on your public profile. If you do not want that, hide the commission or use privacy.
- Your public profile is optional and you can turn it off whenever you want. Exactly what is shown is in the privacy policy.
5. Acceptable use
You may not use Commission Tracker for:
- Anything illegal, or to help defraud or deceive your clients or other people.
- Sexual content involving minors, under any circumstances. We remove it and may report it to the authorities.
- Harassing, threatening or discriminating against people, inciting hatred, or impersonating someone else.
- Attacking or overloading the service, trying to access other people's accounts, bypassing usage limits, extracting data in bulk or distributing malware.
- Reselling access or posing as Commission Tracker.
Adult content. You may log adult-content commissions between consenting adults, as long as they are legal and you mark them as NSFW. Do not use sexually explicit images as your profile picture, banner or in your public profile announcements, which anyone can see without an account.
Authorship and AI-generated art
Commission Tracker is for artists who make their own work. You may not use the platform to offer, show or promote as your own art that is wholly or substantially generated with generative AI (for example, from text prompts), or works traced or taken from other people without their permission and credit.
- This applies to the images you publish (profile picture, banner, announcements) and to what you offer your clients from your public profile.
- You may use ordinary digital drawing and editing tools. What is not allowed is presenting as yours a result made by generative AI.
- If we have a reasonable doubt, we may ask you to show your process (sketches, layers, recordings) and we will give you a chance to respond before taking any action.
- If a breach is confirmed, we may remove the content, turn off your public profile or suspend your account (section 10).
Reports
Anyone can report a public profile from that profile's menu (⋯), for fraud, stolen art or undisclosed AI art, impersonation, harassment, inappropriate content, spam or another reason, including breaching the rules in this section. We review reports and, where appropriate, apply section 10. The report is never sent to the person reported.
6. Your own terms with your clients
The app lets you write your terms of service and your cancellation policy and show them on your profile. They are your documents: Commission Tracker is not a party to them and does not review them. The template we offer is only a starting point, not legal advice; adapt it to your case and the laws that apply to you.
7. Calculations and rates
The calculator, the reference rates and the statistics are an aid to help you organize. Platform and payment-method fees are set by third parties, change over time and depend on the country and account type, so they may be out of date. Confirm them with the provider before charging. Nothing here is tax, accounting or legal advice.
Finances. It is a notebook: you log by hand the income and expenses that fall outside your commissions, and you can register recurring expenses, which the app shows as "upcoming" based on the dates you entered. We do not connect to your bank, card or payment platforms, we do not make or schedule charges or payments, and an "upcoming" expense is never logged on its own: you confirm it. The monthly expense cap is a limit you set yourself and the app only warns you when you get close or go over it; it blocks nothing. It is for keeping your books, not for filing taxes: it does not calculate taxes, issue invoices or replace an accountant or your tax return. You are responsible for the accuracy of what you log.
8. Availability and changes
Commission Tracker is evolving. We offer it "as is": we do our best to keep it available and error-free, but we cannot guarantee it will work without interruption. We may change, add or remove features; if a change significantly affects what you use, we will try to warn you in reasonable time.
Keep copies of what you cannot afford to lose: you can export your commissions as CSV from Settings at any time.
9. Intellectual property of the platform
The software, design, brand and texts of Commission Tracker belong to us or our licensors. Third-party illustrations and animations are used under their licenses and credited in the app's "About" section. You may not copy or reuse the platform beyond what these terms allow.
10. Suspension and termination
You can stop using the service and delete your account at any time from Settings. We may suspend or delete an account or a public profile if it breaches these terms, if there is a security risk or if an authority requires it. Where possible we will warn you first and give you a chance to respond; in serious or urgent cases we may act immediately. We review the profile reports we receive.
If we suspend or delete an account for breaching these terms, you may not open another without our permission and the associated invitation code ceases to apply. If that account arrived with a code given by another user, we may also review the person who invited it, as explained in "Invitation codes". Where possible, and except in serious cases or where the law requires otherwise, we will give you a chance to export your data.
11. Limits of liability
To the extent the law allows, we are not liable for: disputes, payments or deliveries between an artist and their clients; lost income or data; or indirect or consequential damages arising from use of the service. Our total liability for any claim is limited to direct damages and will not exceed what you paid for the service in the previous 12 months. Nothing here limits rights that the law does not allow to be limited.
You are responsible for the content you upload and publish. If a third party brings a claim against us over your content or over your breach of these terms, we will ask you to answer for it to the extent the law allows.
12. Changes to these terms
We may update these terms. We will publish the new version here with its date and, if the change is significant, tell you in the app or by email. If you keep using the service after it takes effect, you accept the new version.
13. Governing law and contact
These terms are governed by the laws of Mexico, without prejudice to the consumer rights you have in your country. For any question or request, write to support@mycommissiontracker.net. Use email for problems with your account, copyright claims and reports that include private data.
For general questions and to chat with other users, there is our community. Do not share private account details there.
